A Litany of
Geopolitical & Natural Disasters
I have been around a long time but I don't think I
have ever seen as many natural and political disasters as I have
seen in the last year or so. We have had massive winter storms in
North America and Europe, unprecedented flooding in Australia,
earthquakes in New Zealand and Japan, volcanoes erupting and causing massive
disruptions to flight schedules and people revolutions in the middle
east and North Africa with long-standing regimes toppling.
It is not just Mother Nature that is upset with us,
at least half the world's population is unhappy with their political
masters; 2011 should be a very interesting year.
For all our sakes I am hoping that the worst is
over; now we just have to pay the bills.
However, if we are wise it is also time to remind
ourselves that we are not impervious to disasters whether natural or
man made and that these were not 'one-off' events. Nature has once
again reminded us just how powerless we are when the weather takes a
turn for the worst and we have seen how even what we thought were
the most stable political regimes can crumble almost overnight.
Disaster Recovery
and Business Continuity Planning Service (DR&BCS)
We certainly hadn't planned it this way but we have
just released a new disaster recovery and business continuity
planning service for our RecFind 6 customers. This has been in works
for some time and the timing was due to us having to complete the
development of some key components (like the new RecFind 6 web
client and our hosting service) and it actually had nothing to do
with the unusual world weather patterns or current political unrest. The release of this new
service was just coincidental with some of the worst weather we have
ever seen.
The unusually bad weather has
been a wake-up call for us too and we are changing and improving our own
disaster recovery and business continuity plans and are implementing new infrastructure and processes to better protect our
business and IP. We are also strongly suggesting that our customers
do the same.
To the best of my knowledge,
ever single one of our customers has a requirement to have a
disaster recovery and business continuity plan in place. However,
many don't or have only paid lip service to this requirement and
many are now suffering the dire consequences of not having an
effective plan in place.
Floods, earthquakes, tsunamis, fire and revolution rarely give you enough warning to
protect your vital business assets and ensure business continuity
while recovering.
This would be the best
time to make it happen and to do it properly. No one should have
trouble getting the attention of management on this issue. Recent
events make it all too clear what the consequences of vacillation are.
Service anywhere in Europe, Australasia and North America
The backbone of our new DR&BCS is our ability to
install and maintain a standby copy of your RecFind 6 system in your country. We have an
agreement with a world-wide data centre company that allows us to
install and maintain standby systems almost anywhere in the world.
The final component, the new RecFind 6 web client, means that you
can securely access your corporate data from any computer (Windows,
Mac, Linux and even iPad) that has a browser and access to the Internet.
So not only is your vital data protected, it is also securely accessible even
when all of your organization's IT infrastructure is inoperable.

New Personnel
Our new Sales and Marketing Director Tony Holland
is generating a lot more business so we have added a new
Trainer/Consultant to handle the increased workload. His name is Tim (Timothy) Little and he starts on March 21st. Given
the current forward work schedule for RecFind 6 installations we will probably have to add
another Trainer/Consultant around the June timeframe. We will keep
you posted.
I am also most
pleased to announce that Samantha McKenna is back in the Corporate
Account Management (CAM) role after the long absence required to
produce our new grandson Jasper. Sam will be
back in touch with all of our customers over the next few months by phone
and email.
The Future
Unless you are a mining company selling all you can dig up to
China things are still pretty tough out in the business world.
Our customers are still looking for extra value and are
critically examining all new proposals. I have lost track of the
number of times I have been asked to "sharpen my pencil". We
already have one of the lowest cost models and the most
cost-effective solution but we try as hard as we can to meet our
customers' budget requirements.
We will continue to provide the best service and the most innovative, most scalable and most stable products at the most effective cost.
We will also give you as many options as possible so you can
best fit and scale our solutions to your needs. As a good example of the lowest cost way to roll out an electronic

there cannot be an
easier, less disruptive or lower cost way to roll out an
enterprise EDRMS.

RecFind 6
new Web Client
The web client is a
new product to RecFind 6, a brand new and optional 'thin-client'
user interface. It will run in virtually any browser such as IE and Firefox
and, unlike the .NET smart-client (which only runs in Windows), it
will run on your Linux and Apple PCs as well
as your Windows PCs.
We have made the new web-client user interface
look and feel as close as possible to the current RecFind 6 smart-client.
They will also eventually (through several releases) have identical functionality. This means users will be able to move from one to the other without
retraining. Customers can run both clients (smart and web) at the
same time and both are managed by the same concurrent user
algorithm. So, if you for example have a 50 concurrent user license
for RecFind 6, you can run any mix of smart and web clients up to a
maximum of 50.

Disaster Recovery & Business Continuity Service (DR&BCS)
We already offer a hosting service whereby we can host your
RecFind 6 server and run and manage the RecFind 6 application for you. Our new
DR&BCS leverages off that same hosted infrastructure making it easy
for us to set up a standby RecFind 6 server and restore your backups
on an agreed schedule so it is always up to date.
You simply provide us with backups (we can totally automate this
process) and 'test' your standby server on a regular basis to ensure
that it is available should it be required.
All your corporate data is securely stored off-site and you can
switch across to the standby server as soon as your in-house
facility fails.
We can tailor the DR&BCS to your exact requirements and we can
place the standby server in a secure data centre in your
geographical area.

Even with the
very first RecFind with EDRMS capabilities (in 1987) we offered
options. That is, different ways to achieve your objectives. RecFind
6 is a very superior product to that very early release in 1987 but

New Dashboard Service
A dashboard is a very useful way to display key
metrics such as performance data from workflow (e.g., Tasks
allocated, due, complete, overdue, etc.) or operations (files added,
files open, files closed, etc) or specific applications like
contract management (due for renewal in 1 month, 2 months, 3 months,
overdue, etc) and accounts payable processing (Invoices unpaid, due
15 days, due 30 days, etc.).

Knowledgeone (K1) - End of Product Lifecycle
We remind our K1 users that K1 was decommissioned on December 31,
2010 and that support ceases December 31, 2011.
You should be on K1 version 1.6 before you upgrade to RecFind 6
version 2.3. Note that RecFind 6 is actually an upgrade to K1 (not
RecFind 5), we changed back to the RecFind brand name and renamed K1
version 2.0 to RecFind 6.
RecFind 6 is supplied free of charge to K1 users under a current
ASU. We also supply a program that will convert all of your K1 data to
RecFind 6.
